Paying & Pre-ordering

How & when do we pay for our tickets? Is a deposit required?

A deposit of £10 per person (£20 for New Year’s Eve) must be received within 14 days of making a provisional booking. Please note from 1st September, a deposit is required at the time of booking.
The full balance is due 8 weeks before your party night, together with your party’s menu choices and any wine pre-order . A statement will be sent 4 weeks beforehand as a gentle reminder so don’t worry! Tickets will be sent once payment has been processed. A receipt will be sent every time a payment is made. Please note that we cannot accept multiple payments – only 1x payment per amount due.
We are not located at The ICC, so please make sure you don’t have a wasted journey by taking monies there.

What payment forms do you accept?

We accept cheques made payable to J D Parties Ltd and Visa, Mastercard and Maestro cards. Please note that cheques cannot be accepted any later than 14 days prior to your night.

Can I pay in instalments?

Why not pay for your party in instalments? Provided the deposit has been paid by the due date, you can make regular payments towards your final balance.

What if I want to change something to my booking?

Any alterations to bookings must come from the organiser.
We do ask that you inform your party of our terms and conditions, in particular that any monies paid are non-refundable and that tickets are non-redeemable and non-transferable.
IMPORTANT – All guests must be 18 years or above.

Menus & Wine Pre-Orders

Do we have to pre-order from the menu?

We must receive your party’s menu choices 8 weeks prior to your party date. If you misplace your copy, the menu can be found in the brochure or on our website.
We will automatically allocate ‘A’ choice for all 3 courses if we do not receive your menus in the allotted timescale.
We are unable to offer alternative menu choices – as you can appreciate we are catering for 1,250 guests! We can, however, cater for guests with specific dietary requirements – please call us to discuss the alternatives available.

Can we pre-order wine too?

Why not have wine waiting for you on your tables? Wine can be pre-ordered from the wine list and paid for using the balance payment form, which will be sent with your statement.
Please ensure your order can either be split evenly between your allocated tables or advise us how you wish the wine to be split. If you are unsure of your table allocation, please contact us and we will be happy to advise. If we do not receive a split, we reserve the right to divide your wine pre-order as best we can between your tables.
We would strongly recommend pre-ordering wine to avoid queues on the night, but please note that orders must be received and paid for no later than 10 days prior to your party night. After this time, you can order on the night at the Wine Order Point in the main bar.
Champagne and white wine pre-orders will be served in ice buckets – guaranteed!
Please inform all of your guests that we do not provide table service. Any additional wine will need to be purchased at the wine order point, however, our staff will be more than happy to assist carrying wine back to your tables.

Is there any over-night accommodation?

Unfortunately, there isn’t any accommodation on site at The ICC and we are currently sourcing more local hotels we can recommend who will provide privilege rates for our guests attending our Extravaganzas at The ICC. Keep an eye on our website for further information.

Transport

What about transport and parking?

Free parking is available within the NIA South carpark – accessed from Sheepcote Street (sat nav B16 8JZ).  Due to events at the NIA, we can only provide free parking on 15th, 17th, 22nd, 31st December.  9th and 16th are still TBC.  Other parking is available around the ICC, but will be charged as normal.

If you do drive and then decide to have a few drinks, please be safe when you leave and take a taxi.  There is a dedicated taxi telephone in main reception.

On the Night

What time does it all start?

The doors open at 6.30pm – we advise guests to arrive no later than 7.45 pm as we wouldnt want you to miss any of the pre-dinner entertainment! You will be invited through for dinner at 8pm which is served at approximately 8.15pm. Please order your taxis for 1am (1.30am for New Year’s Eve).

What’s the Dress Code? What should I wear?

Dress to impress! Gents either black tie or smart (trousers with shirt & tie), ladies smart evening wear. Please inform all your guests that we do not allow trainers, t-shirts, denim or jeans (even designer pairs!). If guests are not dressed appropriately, we reserve the right to refuse admission.

Ladies, purcahse a dress from Dream Prom and receive 10% off (excluding sale offers)!  The dress shop is located at Longbarn Village, Nr Alcester, on the Warwickshire and Worcestershire Border. They specialise in prom dresses and evening wear with probably the largest selection of evening dresses and ball gowns in the West Midlands. No appointments are necessary. Is there somewhere I can put my coat?

There is a fully staffed cloakroom where guests can leave their coats, which costs £1 for the evening per guest. You will be given a ticket which you must keep hold of as it will be required to collect your coat when you leave. If you lose your ticket, don’t panic, you will just be asked to wait until all other items have been collected before any coats are released. Please note that we cannot be held responsible for any loss or damage to items left in the cloakroom.

How do you allocate tables?

These are allocated on a first come, first served basis – we feel this is the fairest way. However, please be aware that we take many bookings very early in the year (particularly for weekends). The majority of tables seat up to 10 guests, but you will be advised at the time of booking the tables allocated to your party. Parties with two or more tables will be adjacent to each other – guaranteed! If your party is less than 8 people, your party could be sharing with other smaller parties. We will do our best to accommodate any special requests – please contact us to discuss.
Allocated table numbers will be displayed on the Table Plan in the reception area. Please report to the Courtesy Desk for any further assistance.

What about Drinks on the night?

There is the main bar and specialist satellite bars! To ensure quicker service for all guests, we suggest that rounds are limited to 10 drinks. We do not provide table service – please advise your guests accordingly. We do not allow guests to bring their own alcohol on to the premises – under any circumstances. We operate Challenge 21 – if any of your guests are lucky enough to look younger than 21, they will be asked for ID. Without ID, they will not be served alcohol. Last orders are 12.15am, bar closes 12.30am (or 12.45am for 1am on New Year’s Eve).

Can I set up a bar tab on the night?

For the security of all our guests, we do not allow bar tabs to be set up. However, we do have a voucher system in place which enables guests to purchase drinks at the bar or wine for your party and are available in £5 denominations
The vouchers can be purchased in two ways : either on the night using a credit / debit card / cash or in advance from the office (they will be sent a week before your party night). Unused vouchers purchased on the night can be redeemed at the end of the evening, but only by the person who bought them and using the same card. Vouchers taken off the premises will not be redeemed after the event. Vouchers purchased from the office must be returned no later than 31st January 2012 to be redeemed.

What about the Facilities? Toilets, Disabled & Other?

Toilet Facilities

These are located in the mall on the ground floor and also just outside the exits of the main room, and are regularly checked.

Disabled Facilities

There are disabled facilities and our staff will be happy to help with any special requirements for disabled guests. We would be grateful if you could kindly notify us in advance to assist when allocating your tables etc.

First Aid Facilities

First Aid provision is available on site.

What about smoking?

Smoking is strictly prohibited in all areas of the venue with the exception of the separate smoking areas located outside the east and west mall exits, which are both undercover. Please note that glasses are not to be taken out of the bar area, plastic glasses are provided. We also advise not to leave drinks unattended at any time.

How will the fun Casino work?

£5 will buy you $10,000 of fun money chips for you to gamble on Roulette, Blackjack, Craps or Poker. The croupiers are professionals and will explain how to play and bet. Please note this is a charity fun casino, with all proceeds going to our nominated charity. For this reason, no refunds will be given for unused chips. However, the highest roller on the night will win a prize! If you wish to pre-purchase casino vouchers in advance of your party, please contact us.

Will there be photos of the evening?

Our on site photographers will be more than happy to take formal (or informal!) photos throughout the evening.  1 photo is £10,  or buy 2 photos for £15.
